THE STARTER GUIDE TO DESTINATION EVENTS IN CABRERA
The special details of each event are customized for every client, but there are a few things that remain true for all events hosted at Cabrera’s private villas. See below to dive right in!
BUDGETING FOR YOUR EvENT
All events have multiple components that create the total cost of every event.
They are:
1) Villa Rental: This is a per night charge to rent the villa and is paid to the villa owner. Each villa is privately owned and sets their own rental rates and inclusions. Most villas have a 4 night minimum for events, but sometimes we can get 3 night events approved. This is where we come in & help you select the villa that best fits your budget, guest count and vision. We also have access to discounted weeks and special rates that the villa owners exclusively offer our clients. Please never book a villa online via VBRO or AirBnB! You get charged top dollar and have no access to planning assistance. When booking through our agency, you get better rental rates and a built in planner!
2) Meal Plan for Villa Guests: This is a daily charge (typically between $100-$140usd per person per day) that covers non-alcoholic drinks, breakfast, lunch, snacks, dinner & dessert for the registered guests staying at the villa. There is an additional charge for alcohol and each villa does it differently, so we can advise on that. Menus are customized to your liking and food allergies/dietary restrictions are happily accomodated with advanced notice. Food and beverage payments are paid with final rental payment prior to arrival, and the money gets sent to the villa owner or the food and beverage company handling catering.
3) Villa Venue Fee: Some villas will charge a venue fee to host a wedding or large event. This can range from $500-$1500usd depending on the villa and # of guests at the event.
4) Staff Gratuity and Taxes: By law the villas are required to include a 12% staff gratuity for the service staff at the villa, and sometimes a 18% service tax is also applicable.
5) Event Planning Fee: Below you will find a list of our preferred wedding planners who bring the events to life. This includes the design and execution of any party, wedding or event that requires special setup with decor, florals, lighting, entertainment, tenting, rentals, event catering, etc. You will work with the planner directly to explain your vision and budget, and you pay them directly for their services.
6) Transportation: Depending on the accommodations booked and # of guests attending your event, you may need taxi shuttles to bring your guests back and forth to events. The price will vary depending on how many hours you need service and how many people need to be transported, but on average you can estimate $120usd for a van that fits up to 6 people for an 8 hour period.

Each event is different depending on the bride and groom’s budget, but after 11 years of planning events in Cabrera and working with over 150 bride and grooms, it typically it looks like this:

some also choose to pay for all or part of the guest’s round trip airport transportation if they have it in the budget. If not, then we will inform your guests of transportation costs once we have everyone’s flights and can group people together accordingly.
